Miami‐Dade County has Ordered the Closure of All Non‐Essential Commercial Businesses

Earlier today, the Mayor of Miami‐Dade County issued an order closing all non‐essential commercial businesses as of 9:00 p.m. tonight.  There are exceptions to this order, we have listed some of the businesses that can continue providing services below.  As we have stated before, the safety of our employees, residents, and owners are our priority.  To that end all of our employees will be working remotely.  Service to your community, owners, and residents will continue.  However, in accordance with the Miami‐Dade County Order we will be closing our office to the public.  Limited accessibility will be allowed by appointment only for those owners who need a key, remote, decal, and/or approval.

The following procedural changes will go into effect on Friday, March 20, 2020.

  • Portfolio Managers will continue to visit their communities based on our contractual obligation with the Association. We have asked Managers to limit their contact with other individuals and to practice safe distancing by staying away six (6) feet or more from other individuals.  We have provided them with gloves and have encouraged them not to come into to contact with anyone or surfaces unless necessary.  Onsite Managers will review the plans with their Board of Directors and proceed accordingly.
  • Our Accounting Department will continue cutting checks for those Associations that are not on Avid. Managers will continue delivering and picking up checks as normal.  Managers will coordinate with each respective Board of Directors to reduce contact between individuals.
  • Allied Property Group has an Emergency Action Plan in place that will allow us to continue processing owner payments, make deposits, issue letters, and send out mailings. Naturally the shut down will have an impact on our phone service causing it to be limited, but will continue to answer calls when owners follow the prompts provided.  We will be preparing a memorandum to be sent via email blast to all residents in your community informing them of these changes.
  • We recommend that Board members consider suspending the enforcement of any parking regulations that require special parking permits for the next 30 days. This will help reduce interactions between our staff or association personnel and owners/residents.
  • We also recommend that Associations also forego sending out collection letters this month.
  • All meetings for the next 30 days should be postponed or held via teleconference. Your Property Manager and/or Assistant Manager can help to set it up.
  • All Managers will be attending a webinar tomorrow to discuss the impact of the Coronavirus on associations and some of the additional powers granted to a Board of Directors in times of an emergency. We will provide you with an update tomorrow, which will provide additional details.
  • There are several exceptions to the order issued by Miami‐Dade County. The following businesses that offer services to Associations can continue operating as normal:
  • Contractors and other tradesmen; o Appliance repair personnel; o Exterminators;
  • Landscape and pool care businesses; o Provision of propane or natural gas;
  • Open constructions sites, irrespective of the type of building;
  • Waste management services; and
  • Security services.

Our emergency line will continue to be operational for emergencies such as plumbing stoppages and/or any other type of emergency.

Our entire staff is committed to ensuring that service goes uninterrupted and will be working hard towards that end.  These are challenging times filled with uncertainty but together, we can reduce the spread of the Coronavirus and ensure the safety of our employees, staff, owners and residents.  We will return to normal operations as soon as the county has given the appropriate instructions.
